We respect and value the privacy of everyone who visits our website novicogi.com. Therefore, we will only collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.

What Data Do We Collect?

How Do We Use My Personal Data?

If you submit your CV for a job position, it is sent to our HR department, who will contact you about your interest. In this case, processing is based on your prior consent.

AI Advisor & Automated Processing

On our website we offer an AI advisor that creates an individual recommendation based on the details you provide. When you use this tool, we process the information you enter (e.g. company size, industry, department, your challenge and, optionally, your name) together with your email address.

To generate the recommendation, we transmit your input to our processor Anthropic (Anthropic PBC, USA), whose “Claude” language model performs the analysis. This involves a transfer of data to the USA (a third country). Anthropic processes the content to provide the response and, according to its own statements, does not use it to train its models. We do not pass your name to the model.

We send and receive the result, along with an internal notification, by email via our own mailbox on Microsoft 365 (Microsoft Ireland Operations Ltd., EU). To protect against misuse (spam/bots) we use Cloudflare Turnstile. To process and follow up on your enquiry, we also store your details in our CRM system HubSpot (HubSpot, Inc., USA).

The legal basis is your consent (Art. 6(1)(a) GDPR), which you give before use; the transfer to the USA is based on your explicit consent or appropriate safeguards (Art. 49 / Art. 46 GDPR). There is no automated decision producing legal effects within the meaning of Art. 22 GDPR — the recommendation is only a non-binding starting point. You can withdraw your consent at any time with effect for the future. We store the submitted information only for as long as is necessary to handle your request.

How Long Will We Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected.

How We Store, Transfer and Share Your Data

We may store or transfer some or all of your personal data in countries that are not part of the European Economic Area (the “EEA”). These are known as “third countries” and may not have data protection laws that are as strong as those in the EEA. Where this happens, we take additional steps to ensure that your personal data is treated just as safely and securely as it would be within the EEA and under the GDPR.

We may share personal data with other companies we cooperate with in order to improve the services we offer to you, including present and future clients. Where this involves the transfer of personal data outside the EEA, we ensure that personal data is protected by appropriate safeguards.
